Job Summary
This role is responsible for managing office operations, ensuring a smooth and efficient work environment. Key duties include handling office supplies, coordinating maintenance, managing employee devices and logistics, and supporting HR with attendance tracking and event planning. The position also involves overseeing administrative tasks like visas, work permits for foreign employees, and organizing benefits for staff. Strong communication, organizational, and problem-solving skills, along with knowledge of Vietnamese labor law, are essential. The role requires flexibility and multitasking abilities to address office needs and improve employee engagement.
Responsibilities:
● Identify office needs and order the necessary goods, making sure they meet quality requirements;
● Provide devices to new hires; organize property delivery-acceptance for resignees; fix under requirement;
● Manage the day-to-day operations of the office, including maintaining office supplies, coordinating maintenance and repairs, and ensuring a clean and safe work environment;
● Cooperate with the General Affair Department (GAD) of Headquarters to organize the GAD procedure and policies in the Office;
● Resolve emergency issues related to the Office;
● Control the process of registration of foreign employees (visa process, work permit, resident card, etc.) when requested;
● Manage the Office’s car and driver under the Office’s policies;
● Other administrative tasks under requirement: arrange the related tasks with the Office building, hotel, or flight ticket booking for business travel, housing for expats, receiving or delivering Office documents, etc.
● Support the HR tasks with daily checking the employee attendance and prepare timesheet at the end of the month;
● Support with the planning and coordination of Office events; Support the HR task for event organize: employee birthday, working anniversary, team building activities
● Organize the benefits package for employees and guide employees connecting with benefits.
● Work closely with management and employees to improve work relationships, build morale and increase productivity and retention.
● Identify the existing problems, organize satisfaction, engagement, and other surveys or individual meetings.
● Communication specialist for Office events, activities
