Aquatics Assistant

Objective:
As a member of the ISHCMC Aquatics Program, the Aquatic Assistant is expected to:

• Demonstrate resourcefulness and strong communication skills when interacting with colleagues and all members of the ISHCMC community
• Maintain a punctual and professional demeanor in all aspects of their duties
• Be willing to learn new data platforms specifically to swimming
Administration Responsibilities
1. Data Management
• Ensuring that all records of students/contacts and classes in schoolsbuddy, excel sheets, toddle, SEQTA, Team Unify are up to date and correct
• Ensure all data is entered into Team Manager, Team Unify, Meet Manager and Swim Colour accurately and in a timely manner
• Updating results and import results to Team Unify/Meet Manager/Swim Cloud/Meet Mobile
• Creating and managing classes on schools buddy, data entry and data extraction of schools buddy
2. Communication
• Communicating with parents or guardians on results of swimming assessments/levels and groupings times (drawn from schoolsbuddy) or excel sheets
• Working together with the Aquatic Director on communication to parents/swimmers regarding upcoming events
• Uphold basic communication with parents or guardians, forward any other communication directly to the Deputy or the Aquatic Director.
3. Swim Programme Management
• Record absences, parental notes and medical notes
• Filing documents such as waivers, agreements, assessment results
• Managing the orders and distribution swimsuits/kits/orders for the Aquatic Department
• Arranging sub teachers/lifeguards with HR and overlooking sign-in lists for sub teachers
• Tracking the Aquatic Budget
• Assisting in copying and laminating of swimming related documents such as but not limited to visual aids for the swim teams/ swimming lessons
• Arrange set up and clearing of equipment for swim meets or swim classes and school related events.
4. Swim Events/Meets
• Running of the Meet Manager software and the timing console at swim meets
• Travel Meets: Managing all logistical elements for travel meets such as documentation, visas, flights, hotel, transportation and meals
• Onsite Meets:
+ Liaise with parent representative and Global Cafe for catering
+ Manage logistics with facilities team for onsite meet set up, take down and clearing
+ Sourcing and scheduling of volunteers for swim meets
5. Health and Safety
• Inspect facilities and complete regular walkthroughs with the Health and Safety Manager; report any unsafe conditions or equipment to the appropriate departments for action.
• Ensure safety standards are maintained at poolside and records necessary.
• Perform first aid or rescue techniques where necessary.
• Act as a lifeguard during absence of a lifeguard.
• Ability to recognize the importance of safety in the workplace, follow safety rules, practice safe work habits, utilize appropriate safety equipment and report unsafe conditions to the appropriate administrator.
• Participate in in-house PD sessions and use possible external/online PD sessions to extend your knowledge in swimming, teaching, and coaching.
6. Finance and Procurement
• Arranging payment-lists for HR based on the data on school buddy
• Submit purchase orders and managing bills such as maintenance invoices to the appropriate places
