1/ Guide and supervise the daily operation of administration.
• Direct the daily operation of various administrative tasks to ensure the effective, reliable and economical achievement of the company's current and future administrative requirements.
• Ensure the quality of administrative services by on-site inspection - problem finding - problem solving - improvement cycle and be able to develop key checklist for each service area.
• Publicize and train the service rules to employees, thus reducing unreasonable demands and complaints. All kinds of anomalies and complaints in the process of administrative service should be solved promptly.
• Ensure that all kinds of decisions and new requirements of the above administrative modules can be implemented, ensure that emergency can be mobilized and guided according to their own experience, ensure that the emergency situation is handled properly.
• Ensure the daily operation of the above administrative modules without major violations, complaints and safety incidents.
2/ Organization, coordination and guidance of large-scale activities and important reception work:
• Coordinate with relevant parties to provide VIP Guest Services regarding agenda, transportation, reservations, food and beverage, emigration/immigration of the VIP visitors.
• Coordinate with relevant parties and ensuring the smooth running of a company event schedule and individual events by cross-department coordination including but not limited to Seminar, Workshop, Company Meeting, Virtual Meeting, Business Dinner, Government Meeting, Vietnam Annual Dinner, Company Outing, Company Team Building and other company-level events.
• Optimize reception processes, continuously improve and enhance, and improve customer satisfaction
3/ Supervision, Management & Leadership
• Ensure your team is staffed, motivated, inspired, engaged and empowered to deliver a high and sustainable performance level in an ever-changing environment at a cost level the organization can sustain and reflects market realities.
• Ensure you have the right people in the right jobs, by consistently using proper interview and selection techniques and methodologies throughout your organization.
• Ensure a learning environment is in place and your team is trained and developed to consistently achieve your organization’s expectations in both the short and long terms.
• Ensure the Performance Management Process is fully operating with meaningful stretch goals for all employees in your organization, that feedback is on-going and focused on development and done with 100% On Time Delivery.
• Ensure a free flow of two-way information for your organization to work effectively and communication channels are active and open
• Ensure an accident-free environment by following all EH&S policies and procedures, maintain a clean, safe and orderly environment and openly endorsing and creating an attitude that all accidents are preventable within your sphere of influence.
• Ensure the spirit and intent of all employment laws and regulations and Coherent and local HR policies and procedures are understood and complied with in your area.
• Other tasks assigned by Line Manager
