Administration
1. Act as the main point of contact for visitors and callers, including reception duties.
2. Provide general support to the Office team.
3. Provide support for the arts programme/projects including assisting with administration of project work where appropriate and when agreed.
4. Undertake general administrative duties including:
• General word processing.
• Filing, copying and faxing.
• Collation and distribution of minutes, reports and other documents.
• Dealing with incoming and outgoing mail and general emails.
• Ordering of equipment, materials and office supplies.
• Minute taking for Board, team meetings and other meetings as required.
5. Undertake and assist in the recording and processing of invoices, receipts and payments as required and instructed.
6. Administer the petty cash system and ensure appropriate record keeping. Prepare contracts for suppliers as advised. Assist in matters relating to marketing and publicity for the Company.
7. Arrange meetings relating to the core operation of the Company.
8. Arrange hospitality, purchase supplies to ensure the smooth running of the organisation on a day to day and as required basis.
9. Provide administrative support for matters relating to the premises and operations including security, alarms, opening, insurance and transport.
10. Issue in-house announcements, internal memos, notice, memorandum to ensure clear communication to employee. Prepare and control all company admin format
11. Arrange accommodation, air ticket, car transportation for Visitors & Managers and Employees going on business
12. Manage and mornitor the company’s facilities, equipment, fixtures, security, ancillary items, etc in use. Control of fixed assets of the Company, equipment maintenance and problems arising when there are failures
13. In charge of preparing legal documents for the company: changing the location of business registration, changing the company's name, other legal documents, etc
HR duties
• Handle application of visa, work permit, TRC for foreigners/ expats
• Check timesheet, prepare monthly safety record, annual leave record
• Handle all issues related to compulsory insurance for employees
• Recruitment tasks: prepare Job Des., Job advertising, organize the interview;
• Prepare & maintain updated and record of staff information such as labour contracts, personal profile, performance review, timesheets, contract amendments and employee exit Package;
• Deal with LC termination
