Mô tả công việc

Executive Assistant to BoM (50%)
• BoM Document management:
✓ Oversee the efficient and secure processing of documents requiring BoM’s signatures.
✓ Maintain a clear and organized record of all signed/bidding documents.
• Calendar Coordination:
✓ Manage appointments, meetings, and travel arrangements, prioritizing and ensuring adherence
to deadlines.
✓ Resolve scheduling conflicts and communication with internal and external stakeholders.
• Meeting Support:
✓ Assist BoM with ongoing and recurring meetings by coordinating with internal teams.
✓ Prepare logistics, agendas, and briefing materials for meetings. Conduct the MoM.
• Travel Coordination:
✓ Arrange travel for BoM (and their family members) as required.
✓ Coordinate travel and logistics arrangements for another when business occurs.
• Documents process:
✓ Involve in Visa, Work Permit, TRC, fast track services for BoM.
✓ Process business payments/claim for Management and another team, and manage petty cash.
Administration (50%)
• Front Desk support:
✓ To take care of and welcome guests and company hotline.
✓ Handle incoming and outgoing mail and deliveries.
• Company and department events:
✓ Support and coordinate with stakeholders for company events as assigned.
• Other tasks:
As assigned.
