The Factory Administrator is responsible for managing and overseeing the day-to-day administrative operations to ensure smooth operation. This role requires excellent organisational, multitasking, and communication skills to support various departments and maintain a productive workplace environment.
1. FACTORY ADMINISTRATION:
• To buy and stock working equipment, connection devices, office supplies inventory (e.g: stationery, PPE…) and coordinate procurement as needed.
• To liaise with vendors and service providers for facilities management, including check, repair, replace and maintain equipment and offices when damaged.
• To manage meeting rooms, common offices, pantry (facilities, parking, air conditioning, dining, electricity and water, internet, common machinery and equipment, stationery.) and to ensure the office premises, canteen…. are well-maintained, clean, and organised.
• To support building entry and exit for staff and visitors, bring out assets and relevant procedures.
• To keep on track and prepare daily/ monthly payment: electricity, water, photo and scan service, internet….
• To manage Company Dorm as full cycle service (until August 2025).
2. SERVICED-VENDOR SOURCING & MANAGEMENT:
• To conduct research for service suppliers, to provide cost comparison, new and existing and review cost reduction activities in line with specified cost, quality and delivery targets.
• To manage supplier’s selection and control supplier’s performance, evaluation to ensure the contract compliance.
• To monitor and advise on any issues which present risk or opportunity to the factory.
• To maintain serviced-contracts and relationships with vendors, including negotiating terms: wastes tracking, insect control, maid, garden-service supervising vendor as third party.
3. EMPLOYEE SUPPORT:
• To coordinate travel arrangements for employees, including transportation and accommodation.
• To address employee queries related to administrative issues.
• To support new hire on-boarding with workplace setup.
• Manage company vehicles/using taxi cards.
• To implement and support company events, internal communications and company culture (general parties, group parties...).
• To participate in supporting human resources events, company events, internal communications (content writing), creating image documents, supporting movement activities.
4. OTHER DUTIES:
Handle ad hoc administrative tasks as required by management.
