Job Summary
The Head of Operations is responsible for the overall operational efficiency and effectiveness of the school. This role will oversee a wide range of administrative and logistical functions, ensuring that the school's operations run smoothly and support the academic mission.
Responsibilities
1. Administration Oversight:
• Manage and coordinate administrative staff.
• Oversee the development and implementation of administrative policies and procedures.
• Ensure compliance with all relevant regulations, including educational standards, health and safety regulations.
2. Overall management of Operational Support Services:
2.1. Facilities and Housekeeping management:
• Manage facilities staff to ensure effective maintenance and repair of all school infrastructure.
• Oversee housekeeping operations to maintain high standards of cleanliness and hygiene throughout the school premises.
• Conduct regular inspections and risk assessments to ensure compliance with health, safety, and environmental standards.
2.2. Kitchen and Catering Services:
• Supervise kitchen staff to ensure the provision of nutritious, high-quality meals for pupils and staff, ensuring adherence to health regulations and implementing sanitation practices.
• Manage the kitchen budget, monitor expenses, and negotiate supplier contracts.
• Manage food procurement and supplier relationships to optimize costs and reduce waste.
2.3. Security Management:
• Oversee security staff to ensure the safety and security of the school premises, pupils, and staff.
• Implement and maintain security protocols, including access control, surveillance systems, and emergency response procedures.
2.4. Uniform Management:
• Manage the procurement, distribution, and maintenance of school uniforms for pupils.
• Ensure that uniform policies are communicated effectively and adhered to by all stakeholders.
• Coordinate with suppliers to ensure the timely availability of uniforms and manage inventory effectively.
2.5. Transportation:
• Manage the school's transportation services, including school buses and transportation for field trips.
• Ensure the safety and well-being of pupils during transportation.
2.6. Event Organization:
• Coordinate with various departments and event leads to ensure logistical support for school events, including open days, sports days, cultural festivals, graduations, and parent meetings.
• Ensure that all operational aspects, such as venue setup, catering, security, and technical support, are arranged and in place as needed for smooth event execution.
2.7. Other operational supports:
• Oversee the logistics support for staff business trips, including flight and hotel bookings, ensuring cost-effective and timely arrangements.
• Manage transportation logistics for visitors when necessary.
3. Procurement Management:
• Oversee the procurement, inventory, and distribution of materials and resources ensuring timely delivery and optimal utilization to support the academic mission while managing vendor relationships and maintaining cost efficiency.
4. Budget Management:
• Prepare and manage operational budgets, ensuring proper allocation and efficient use of resources.
• Monitor expenses, working with finance teams to ensure adherence to budget guidelines.
5. Compliance:
• Ensure compliance with legal, statutory, and administrative requirements related to health, safety, and fire regulations.
