Report to: OTC Marketing Director
The Marketing Administrative Assistant
provides comprehensive administrative and office support to the Marketing team in a pharmaceutical company. This role ensures the smooth operation of marketing activities, including support for brand activities, and contributes to the efficient execution of marketing plans and strategies.
Prepare work-related reimbursements and liquidation forms with supporting documents and receipts.
Arrange meetings and conferences, schedule appointments, and make travel arrangements.
Process supplier contracts, payments, invoices, project briefs, and other relevant documents for approval.
Coordinate and execute tasks related to marketing campaigns and product launches.
Assist with daily administrative tasks including data collection and entry, filing, and organizing documents.
Make necessary room rental, reservation, or catering arrangements.
Assist in logistics planning and setting up for BTL activations, Continuing Medical Education (CME) Programs, conferences, and other special events.
Route documents within marketing and sales to other departments.
Prepare and process requests for office supplies and equipment as needed.
Process product returns.
Ensure proper management and use of office supplies.
Order and monitor Point of Sale Materials (POSMs) related to category activities, ensuring they are used efficiently and not wasted.
Work on ad hoc marketing projects assigned for training purposes.

Professional Background
Degree in Business, Marketing, or equivalent experience required.
Competency Requirements

High degree of initiative, proactivity, and attention to detail.
Ability to maintain confidentiality.
Proficient in Windows-based software and other relevant computer applications.
Fluent in spoken and written English.
Experience in project coordination and working with all levels of internal management and external third parties.
Strong forward planning and ability to anticipate issues.
Willingness and ability to occasionally travel.
