POSITION DESCRIPTION
Responsible for implementing the work related to the management, maintenance, repair, renovation and check, monitor the conditions of Security, Occupational Safety and Hygiene (OSH) in Ho Chi Minh Office (HCMO); cooperate with relevant units to conduct maintenance, repair, renovation in Bien Hoa Factory Office (BHO); manage and follow up the budget of maintenance, repairing and manage assets/tools/supply uses of GA Department.
ROLES & RESPONSIBILITIES
1. Execute assigned tasks as below with exhibitin
g expertise
:
1.1 Fixed Asset Management:
- Monitor, check and confirm the status of fixed assets in-charged by GA department periodically.
- Prepare and control list of fixed assets and supply uses managed by GA Department (buying/installing date, estimated shelf-life…)
- Prepare a plan for maintenance or replacement of such assets based on estimated shelf-life.
- Carry out the process of liquidating fixed assets/ other assets/ scraps as the request of the Sections/ Departments according to the regulations on Assets Management.
1.2. Maintenance, repair, renovation in Ho Chi Minh Office and Bien Hoa Factory Office:
a. For HCMO
- Carry out the arrangement or changes of office layout as required by Departments/Sections.
- Ensure stable operating conditions of equipment, machines in the office
- Monitor/supervise the period and results of repair/renovation work in office.
- Check, identify damage to equipment in the office that needs to be repaired/ replaced to ask contractor for improvement.
- Carry out payment for all kinds of expenses related to maintenance, repair or purchase of new equipment in the office.
b. For BHO
- Manage budget and cooperate with relevant units to conduct maintenance, repair, renovation in BHO.
1.3. Occupational Safety and Hygiene in HCMO:
- Monitoring and implementing all activities to ensure Safety & Hygiene in HCMO and HNO according to action plans and requests of the OSH & Environment Committees including but not limited to:
• Follow, implement checking and maintenance of Firefighting & Prevention equipment such as: fire-fighting extinguishers, emergency lamps…
• Follow, implement activities to ensure Safety & Hygiene conditions on office as Law regulations such as: environment check, general safety patrol & first-aid training…
• Follow, implement office patrol, pet control, office cleaning.
- Follow service contracts and carry out the process of payment for all kinds of related expenses.
1.4. Other works:
- Understand and execute work towards Section targets.
- Follow up, estimate related expenses and ensure the proper use of the budget for the activities in own area of accountability.
- Support to implement other activities of the Company under the direction of GA Department Managers.
2. Coordinate the work of others in the team to complete the assigned tasks.
3. Collaborate and coordinate with other team(s) to complete assigned tasks.
4. Guide and support junior team members, provide them with on-the-job training.
5. Understand General Affairs & Risk Management Section’s target.
