RECRUITMENT & ONBOARDING PROCEDURES
• Be fully responsible for the end-to-end recruitment process of local non-office and local office staff level:
- Take up references; verbal and written.
- Post job vacancies; Conduct candidate search based on hiring manager’s requirements using tools (e.g. websites, agencies, headhunting services) effectively.
- Be responsible for management and maintenance of internal recruitment database (records of candidates and outcomes throughout the process).
- Arrange interview schedule, conduct initial in-depth interview (phone interview/ in-person meeting); feedback information and interview results for candidates, discuss and negotiate with candidates about position offer and issue official offer of employment.
- Assist in revision of job descriptions to provide relevant information to candidates.
- Induction for new comer, including initial training and company tour.
- Follow up new comers after recruitment to make sure they adapt fluently to the new team and environment.
- Maintain tracking of candidates/vacancies.
- Follow up probationary employees and carry out procedures for evaluating probationary employees and signing labor contracts.
• Make monthly/quarterly/annual recruitment reports
• Assist TA Team Leader in recruitment activities for both local staffs and expats.
• Promote company image on recruitment channels including: company websites, job posting sites and other social channels.
• Other tasks as per assignment by the Line Manager / Department Head
EXPAT COMPLIANCE & SERVICE SUPPORT
• Provide guidelines and communication support for expatriates to obtain required documents (e.g. temporary residence confirmation letter, Vietnamese health check, Vietnamese police check) for expatriate formalities' applications.
• Monitor and perform activities to ensure legal compliance with the requirements of the Vietnamese government for expatriate employees working and living in Vietnam, including visas, work permits, temporary residence cards, as well as other legal documents/requirements related to expatriate employees and their accompanying dependents.
• Coordinate logistics for expatriates' relocation to Vietnam, including but not limited to guidance on document authentication, entry visas, flight tickets, shipment-in, and accommodation. Support orientation programs for new expatriate employees.
• Provide support and guidance to expatriates during their settling period.
• Serve as the contact point and main person in charge of supporting expatriates in administrative and legal matters related to local authorities. Support expatriates with housing matters.
• Coordinate logistics for expatriates' off-boarding process, including but not limited to exit visas, flight tickets, shipment-out, and Vietnamese criminal record guidance. Handle relevant reports to authorities regarding departing expatriate employees.
• Other tasks as per assignment by the Line Manager / Department Head
