Mô tả công việc

Meetings, Events and Guests:
• Arrange all logistics for Employee on business requirement and Visitors such as visa, air ticket, accommodation, work permit, transportation…
• Manage and control the transportation for the whole plant such as company car, taxi…
• Plan, schedule, and promote office events, including meetings, conferences… Take care and support front desk management in handling visitors and clients, not limited to logistics & PPE management.
• Organize all activities and events for team building initiatives of the plant: Year end party, Company trip, Live Better week, women day…
Administration Management:
• Office management, Locker, Uniform, Laundry management:
+ Coordinate all the activities for sending documents, goods via courier at the least cost and at right time
+ Manage all assets belong to his/her scope.
+ Monitor all office supplies (stationary, necessity, telephone, internet, electric and water, utility services cost at the least cost, at the right quality and at the right time). Ensuring office is stocked with necessary supplies and all equipment is working and properly maintained.
+ Monitor / control / manage locker, laundry and uniform for all employees to comply with hygienic instructions
• Cleaning control:
+ Manage & maintain 5S & Housekeeping for Office and outside areas of the plant
+ To be in charge of controlling and managing cleaning system for entry plant
+ Cooperate with cleaning contractor supervisor to ensure the quality of cleaning service
• Canteen control:
+ To be in charge of implementing & checking meal booking process
+ Manage and control canteen to make sure that they operate under company’s regulation and procedure
+ Cooperate with canteen supervisor to ensure the quality, quantity, 5S and hygiene of food delivery
• Do weekly GEMBA to ensure readiness & compliance for all office areas (front office, meeting rooms…) and outside areas of the plant
• Ensure administration budget effective controlling and landing as planned
• Manage clinic center:
+ Manage clinic appliance medicine
+ Manage nurse (if any) or clinic outsources
+ Green card, annual and occupational health check
• Prepare regular admin reports on time
• Initiate and implement best and effective practices in administrative functions
Internal Communication
:
• In charge of internal communication to employees through different platforms including workplace, bulletin board, TV system, company websites, e-newsletter…
• Planning communicating specified messages in quarterly townhall meeting of factory and key events.
• Ensure deliver the message right, positive, encouraging and proper in all context and complex situation.
