1. General Summary
:
- The Document Controller is responsible for managing, maintaining, and overseeing the company's documentation and ensuring its accuracy, quality, and integrity. The role involves handling project documents, ensuring they are stored correctly and easily accessible to authorized personnel, and coordinating with various departments to ensure smooth documentation processes.
- Provide routine clerical and administrative support to the Project Development team.
2. Essential Job Functions:
- Assist in keeping stock of stationary supplies for the team
- Assist with maintaining the calendar, scheduling appointments, and meeting rooms.
- Prepare and raise requisition for purchase of office equipment for staff
- Assist in checking/verifying staff claims and invoices for the development team.
- Sort and distribute incoming correspondence, including faxes and emails, within the team.
- Answer telephone, screens callers, relays messages, and greet visitors.
- Assists with making routine travel and accommodation arrangements if any.
- Support the team in routine admin roles. Provide full secretarial and admin support to the team to ensure the smooth running of the department operations
- Pick up and deliver materials as required.
- Develop and maintain document control processes for efficient management and team.
- File in alphanumeric order and locate material from files, and maintain document control system for recording and tracking all documents for the project team and department
- Operate office equipment such as photocopier, scanner, fax machine, and calculator.
- Assist team regarding the documentation management
- Assist the Project Development Team in activities for clients, such as marketing projects.
3. Scope of Responsibility:
- Acquire the informal policies, procedures and practices necessary to conduct the normal function of a specific section, unit, or work area.
- Be aware of the role of the position and its potential impact on the working unit.
