Primary Responsibilities (60% - Handling Cargo as DOCS Executive)
• Check and complete documents such as SI, VGM, and issue Bills of Lading, Manifest, and submit LOI to carriers/agents/clients on time. Record and handle import/export shipments on the system.
• Collect and verify suppliers’ invoices, update exact costs on the system, make payment proposals to the accounting team as per company and carrier policies, and send debit notes to clients.
• Send final documents, track, and update document status for relevant stakeholders, including handling agents and clients. Maintain records as per archival regulations.
• Coordinate with other departments (as per Manager’s assignments) to solve problems quickly before and during order processing.
• Monitor and notify shipment status updates to related parties in a timely and flexible manner as per regulations.
• Support process improvements and client development plans to enhance cost savings and revenue.
• Ensure the latest Standard Operating Procedures (SOPs) are fully implemented and updated in the Internal Operation Procedures (IOP) as required.
• Maintain all documents according to the standard processes of the DOCS team.
• Attend training sessions organized or assigned by the Manager or Board of Directors.
• Maintain strong working relationships with client offices (local/regional/global) and suppliers.
• Manage pending tasks during holidays or handover tasks to colleagues as per Manager’s instructions.
• Support the Manager in training and guiding the team on complex tasks.
• Share key case studies and insights from daily tasks with the team.
• Take the lead on handling new accounts and complex shipments.
• Perform other tasks as assigned by the Manager.
Secondary Responsibilities (40% - Managing the DOCS Team)
• Oversee and support the DOCS team in daily operations.
• Ensure smooth workflow and compliance with company policies.
• Provide guidance and solutions for operational challenges.
• Assist in the professional development of team members.
WORKING CONDITIONS
• Working Hours:
Monday to Friday (08:00 AM – 12:00 PM & 1:15 PM – 5:00 PM); WFH on Saturdays.
• Starting Date:
As soon as possible.
• Work Location:
07 Street 46, Ward 2, District 4, Ho Chi Minh City, Vietnam.

Quyền lợi được hưởng
Salary: VND 18,000,000 - 22,000,000 (negotiable based on performance).
