Mô tả công việc

A. OFFICE ADMINISTRATION
1. Reception and Company Records Management
- Receive, transmit, route, and distribute efficiently all incoming and outgoing mail and letters
- Assist in the establishment of an organized document filing system within the Company or across all departments; serve as point person for filing documents of the department.
2. Executive and Expatriate Support
- Process the work permit, temporary residence card, and other employment requirements of Japanese employees in coordination with the Business Advisory Team.
- Assist Japanese employees with other needs such as looking for housing, translating documents (i.e., tickets, receipts), etc.
3. Facilities and Supplies Management
- Process payments for suppliers
- Contact approved suppliers/vendors to order regular pantry or office supplies and ensure adequate stock at all times
- Assist in the regular inventory of office stocks and supplies.
- Assist employees with all equipment and machinery concerns for maintenance, repair, or replacement
B. HUMAN RESOURCES MANAGEMENT
1. Recruitment and General Employment Support
- Assist in the on-boarding procedures for new hire
- Update seat chart, organizational chart and employee contact list and other databases related to hiring a new employee.
2. Benefits Administration & Employee Engagement
- Receive and check employee insurance cards and distribute to employees
- Assist in the facilitating the Annual Health Checkup of employees.
- Plan and organize employee engagement activities
3. Performance Management, Training and Development
- Assist the Senior Associate in the implementation of the Performance Management Process.
C. INTERNAL ACCOUNTING AND TAX SUPPORT

Above average MS Application Skills
Above average verbal and written communication skills
From 1 to 3 years of back-office work experience
Has basic knowledge on office administration and training on Labor Laws
Is process-oriented, keen on details, deadline-driven, and has good problem-solving skills
Work experience at foreign companies including Japanese companies
A team player, flexible and has strong people skills
