PURPOSE OF THE ROLE
The Receptionist will be reporting to Senior HRBP Operations (at PMD Factory, in Dong Nai) and responsible in assisting administrative and operations to BAT in PMD Factory with effective management, whilst adhering to company governance, policy and process.
KEY ACCOUNTABILITIES – BUSINESS & PEOPLE
1- OFFICE MANAGEMENT:
• Maintain a clean and organized reception area to ensure a positive impression of the factory.
• Answer visitors’ questions, calls, and emails, and provide them with the relevant information, transfer all incoming calls to related department in timely manner.
• Manage assets and appliances of lobby and office.
• Co-ordinate meeting rooms and make sure meeting rooms are supplied with necessary items.
• Sign for deliveries and ensure all mails and packages delivered to company.
• Monthly spot-check & action plan for spot-check & near-miss programs
2- VISITOR ARRANGEMENT:
• Serve visitors by greeting, welcoming, and directing them appropriately to relevant employees and departments.
• Cooperate with security team to comply the process of factory entry registration for visitors.
• Support controlling and maintaining locker area for employees.
3- GENERAL AFFAIRS
• Manage the relationship with sub-contractor/ outsourcing services, ensure timely and quality service delivery.
• Implement the payments of services to vendors under HR-Admin: such as taxi costs, internet phone costs, express delivery, office electricity and water, stationery, renting trees, cleaning, canteen, shuttle bus, clinic...
• Coordinate/ assist in organizing CSR events (Family Day, Company Birthday, Tet Party…) and meetings, factory visits and workshops.
• Manage the procurement and distribution of PPE, office supplies, uniforms, business cards and other stationery items.
• Assist in managing company assets, including equipment, supplies, and facilities.
• Implement processes for asset tracking, maintenance, and inventory control.
• Provide administrative support to various departments, including document management and correspondence.
4- OTHER TASKS ASSIGNED
• Assisting with a variety of administrative duties
