Job Purpose
Reporting to the Admin & HR Manager, the Admin & HR Specialist is responsible for supporting office administration & HR generalist duties including but not limited to:
- Manage office facilities, office supplies, handling correspondence, employee engagement,
- Facilitate talent acquisition processes, maintain & manage employee profile including physical & digital Profile, Onboard & offboarding,
Key Responsibilities/Major Tasks/Principal Accountability
1. Administrative Support (Front office duties and general office administration)
• Manage office to make sure the clean desk policy is implemented
• Issuing and managing in/out going company letters
• Employee engagement activities (KOM, Team building, Year end party, SRC, Christmas, Birthday, earth day etc.), internal Viva Engage posts
• Attending guest / visitors in the company and distribution of mails
• Managing taxi card/ Grab account, car rental, airfare ticket with BCD
• Monthly office expense such as, office rental, stationary, security system, parking, pantry.. Other office suppliers) lens benefit, access card, visa, work permit,
• Updating of forms, telephone directory and other general office administration such as travel bookings for colleagues
• Overview office necessities and ensure adequate management of certain requirements (supplies, repairs, pantry items, stationary etc.)
• HR Training/ workshop coordination
• Office asset management (Non IT equipment, maintaining. Safety & security
• Ensure compilation of corporate hotel rates to regional team
• Supervise office cleaner's tasks ensuring absolute cleanliness and tidiness of the office space
• General petty cash management
• Prepare, issue and file office letters (If required)
• Visa arrangement for visitor (intake permit, letter for visa purpose)
• Annual health check for staffs in Ho Chi Minh office
• Other administrative duties and functions are assigned from time to time
2. HR generalist tasks
• Recruiting end to end processing for employee (Job posting in local job posting, screening CVs for junior, specialist positions & interview)
• Maintain and manage Personnel Policies and Files, Personnel Action Forms and employment records related to hiring, transferring, promoting, and terminating including physical & electronic
• HRIS (WD) implementing
• Onboarding process (employee announcement, prepare contract, 1st day letter, JD, OTP following, P.file retaining) for all new employees and retaining for existing employees
• Offboarding process (termination decision, offboarding form..)
• Payroll implementing & benefit. HR report to authorities
• Other HR admin as ORG chart update, HR expense payments, letter of increment issuing …
• HRBP for IQS, RMS, BSF (specialist level)
